Easy ways to boost your employee communication

If you know that your employee communication is not the best that it can be, then some changes need to be made. After all, if you do not make a change soon then this could have a long-lasting impact on your business and you may even find that your profit suffers as a result.

Lead by example

If you want your team to communicate effectively then you need to make sure that your leaders are doing it as well. Tell your managers to ask questions, offer feedback and even comment. By starting higher in the chain, you can then send a ripple effect throughout your entire company and this can bring about a positive change much faster.

It is a very common practice for employers to implement new policies or even procedures without explaining them. This creates a level of distrust and even resentment. Sure, legalities may prevent you from sharing all of the finer details, but your team should always be told the reason behind the change. This will help them to feel part of the team and they may even have some suggestions to make the transition much smoother.

Gathering sessions

It’s so important that you gather input from your employees. It doesn’t matter whether you have a suggestions box, or whether you are hosting a meeting with your team in a smaller group because you have to give them the chance to make suggestions. You also need to give them the chance to post their own concerns too. When you do this, you can improve your staff communication and you also make it way easier for them to feel comfortable as part of the team.

Employ online tools

A lot of employees see company meetings as a waste of time. This time could easily be devoted to more important or productive tasks. If you want to reduce the amount of time that your team spend in meetings, then you need to focus on using team update tools. You can also use online reporting as well. This will help you to improve the interaction between workers and it will also have a huge impact on their overall happiness.

Create your own internal language

If you can, focus on using acronyms, inside jokes or even monikers within your business. When you do this, you can then improve your workplace communication, employee engagement and productivity too. This will also give your team an interesting or even a humorous method of talking with one another throughout the week and it can also help you to develop your company culture.

Leverage the subject line

In the modern workplace, most communication is done through email. Employees often receive hundreds of emails every day and this means that inboxes can become very cluttered, very quickly. If you want to boost the communication between your team members then you need to use action words in your subject lines. This could include “ACT” “HELP” or even “URGENT”. This will help your team to prioritise their emails and it will also help them to prioritise which ones need to be dealt with sooner rather than later.

Give your team the chance to recharge

Working long hours can be exhausting to say the least. This is especially the case when you look at the mental impact that it can have on your team. If you want to get around this then you need to try and actively encourage your team to step away from their desk from time to time. This could include giving them an additional personal day, or even giving them an hour for their lunch instead of 30 minutes. Your employees will be more productive as a result, and you may even find that they are happier too.

External events

If your employees don’t know each other very well then there is a high chance that they struggle to communicate. You may find that they don’t work as well with one another and this can have a huge impact on your company. If you want to get around this then you need to try and host an event. This could be an office party, or it could even be a BBQ. When you do this, you give them the chance to really get to know one another and you can also relieve some of the pressure from the working environment too.

Mobile phones

If your team work off-site then you need to do everything you can to maintain a high standard of communication. If you are having a hard time doing this then you need to give your team a mobile phone that can be used specifically for business use. You can install applications and even software that will help your team to stay connected. If you want some additional support, then you can always look into cost-effective mobile device management. This will help you to retain complete control over your team’s devices so that you can implement new measures where necessary.

Task management

If your team are constantly having to go back and forth with their emails to talk about a task being done, then this isn’t an effective way of doing business. If you can, you should always try and invest in a task management system where possible. When you do, all of your team can leave comments on specific projects and this will make it much easier for everyone to stay updated. It also means that project managers can see the progress that is being made without having to be tagged in every single email as well, so it is well worth looking into this if you want to try and keep everyone working well with one another.

So there are many things that you can do to boost your team’s overall communication, and by following the above tips you can be sure to make a huge difference to your business and your employee happiness too. If you need some more suggestions, don’t be afraid to chat with your team to see if they can come up with something.
